Where and when will the Airport Show/Airport Security Middle East/ATC Forum be held?

The Airport Show/Airport Security Middle East/ATC Forum will take place on 29 April to 1 May 2019 at the Dubai International Convention & Exhibition Centre, Za'abeel Halls 4-6.

Can co-exhibitors exhibit at my booth? If so, how do I register them?

Yes.  Co-exhibitors can exhibit at your stand. The primary exhibiting company must fill out the co-exhibitor application form. The form must be filled out for each additional co-exhibiting company and must be signed by the primary exhibitor. The cost per co-exhibitor is AED 1,500. All co-exhibitors will be listed as an individual exhibitor online and will have their own Event Directory entry.


Is there a penalty for cancelling our participation?

Yes, in case of withdrawal of your participation, all sums paid or remaining to be paid are due to the Organiser. (Article 6 of the Terms & Conditions of the Participation Contract.


II. Exhibitor Services

What is the Exhibitor Zone and how can I use it effectively?

The Exhibitor Zone is an online exhibitor service tool available to all registered exhibitors. The Exhibitor Zone is a password-protected area in which you can book various services and see all important event information in one place. Personal access information is automatically sent out to the company’s main contact person (as indicated on the participation contract). 

Exhibitor Zone includes the following features:

  • Update/Edit your company information, contact details, profile & logo
  • Highlight your news by uploading your latest Press Releases
  • Access promotional tools and promote your participation
  • Request meetings with visitors and buyers
  • Interact with interested visitors and buyers who will navigate through your information via the Exhibitor List
  • Access the Exhibitor Manual and Service Order Forms


What is the Exhibitor Manual and how can this document be of benefit to us?

The Exhibitor Manual contains the technical services offered to exhibitors, such as booth construction, electricity, exhibitor badges, parking tickets, cleaning and other useful information relating to your stand build up. These services are provided by either the Organisers or the official contractors of Airport Show 2019.

The list of mandatory forms which will be filled by the Exhibitors can be found in the Exhibitor Manual.

The Exhibitor Manual is normally published online 6 months prior to the event and can be found in the Exhibitor Zone.


How can I complete my Exhibitor Directory and Event Catalogue entry?

Please go to Exhibitor Manual and Forms and see Form 1  of the Compulsory Forms for the guidelines to complete your Exhibitor Directory and Event Catalogue entry.


How can I order for Exhibitor Passes?

Exhibitor passes can be requested online through the badge registration system. The registration link will be sent to the company's main contact person (as indicated on the participation contract). This link can then be shared to anyone from your company who wants to register for an exhibitor pass. If you have not received the Exhibitor Pass registration link, please contact exhibitorservices@theairportshow.com.


Where and when can I collect my Exhibitor Badge for the exhibition?

Exhibitor badges can be collected onsite prior to the opening of the event. The schedule and location will be shared closer to the event. Please note that badges will only be issued if all outstanding invoices have been settled and proof of payment can be submitted upon request.


Does my exhibitor badge allow entry to the conferences?

No. An exhibitor badge does not grant entry to the conference. You must register as a delegate to attend the conferences. 


How can I book meeting rooms at the venue?

There are a few meeting rooms located just outside the Exhibition Halls and are booked on a first-come-first-serve basis. These meeting rooms can be booked on a half-day or daily basis. 

Exhibitors are responsible for arranging their own catering, audio visuals and security needs directly through Airport Show's recommended contractors.  

Note: Meeting rooms are only available to exhibiting companies.

Is there discounted travel packages for event attendees?

Yes, Airport Show has negotiated hotel rates, air tickets and even tour packages in Dubai exclusively for exhibitors, delegates and visitors. To book your flights, hotel or need visa assistance, please contact our appointed Travel Partner, OnPeak or visit the https://www.theairportshow.com/practical-info/hotel


Can the Organisers help me obtain a visa to enter UAE to attend the event?

The Airport Show team will be able to issue an invitation letter for your visa application. You can then visit the UAE Embassy in your country or you can contact BCD Travel, who can assist with the visa application in conjunction with a hotel booking with OnPeak.

How do we find our way around the exhibition grounds, and what vehicle access points and parking lots are there?

Venue Map will be available soon. A copy of the Venue Map can be found on the Exhibitor Manual showing the hall entrances, vehicle access points and parking areas.

Free Parking (first-come, first-serve basis) and Paid Parking are available for exhibitors and visitors within the perimeter of DWTC. For more details, see Car Parking on Section 1 of the Exhibitor Manual.

What rules apply to stand construction and what is the maximum height allowed for the stand walls? 

The Stand construction guidelines can be found on the Exhibitor Manual (Section 2). Stand builder must consider the following:

  • Stand walls must be no higher than 4 metres.
  • Perimeter walls on an aisle should be no longer than 4m without a natural break of 1.8m wide.
  • Where a stand joins another and where the wall is higher than the neighbouring wall (no more than 4m), the visible area must be painted in a neutral colour to present a neat appearance on the neighbour’s side. Branding and advertising is not permitted on this part of the wall.
  • The back wall of a neighbouring stand may not be used.

What is the difference between Space Only exhibitors and Shell Scheme exhibitors?

Space Only exhibitors are responsible for building their own stands. Space Only booking is an empty plot of space, nothing else is included (no carpet). Electricity can be ordered through the appointed stand contractor.

For Shell Scheme exhibitors, the stands will be provided by the Organisers including the furniture, carpet and electricity and will be delivered to exhibitors ready for set-up.


What is the procedure for shipping our samples/displays to the exhibition and who is the appointed freight forwarder of the event?

Exhibitors are requested to coordinate with the event's official forwarder for delivering their stand construction materials. Kindly note that no other forwarder is permitted to enter the exhibition halls.

Can I install a TV directly on to my shell scheme wall?

No, you would need a reinforced wall panel, a display panel or a TV stand. A reinforced wall panel is a 5mm thick wooden panel which provides support to anything you want to hang on the wall. 

Shell scheme wall panels can hold a hanging item of up to 2kg in weight. Please contact the official stand contractor for more details.

Can I display items outside my stand area?

No, for health and safety reasons you’re not allowed to expand beyond your stand area.

Can I apply graphics on the shell scheme wall panels?

You can apply vinyl stickers or double sided tape directly to your wall, but no permanent fixings such as hooks, screws, nails or paint. If you want to install a completely seamless graphic panel, please contact the event's official stand contractor.

Can I change the carpet colour of my shell scheme stand?

Yes, you can indeed. Please contact the below to check the colour availability and rate.
